Bank feeds: the upgrade both push you to

This is the detail most comparisons miss. Neither free plan pulls in bank transactions automatically. Wave adds bank imports (through Plaid) on Pro, and Zoho adds bank and credit card feeds on Standard. Zoho’s free plan does let you import and auto-forward bank statements and reconcile them. If you’re happy to upload a statement once a month, either free plan works. If you want transactions to flow in daily, budget about US$15–20 a month either way.

When you grow: users, inventory, payroll

  • Users: Zoho Standard includes 3 users, Professional 5, and extra users are $3 a month. Wave lists adding users as a Pro feature without a stated cap.
  • Inventory, projects, multi-currency: Zoho adds all three on Professional (US$50). Wave has no inventory or projects. It does handle foreign-currency invoices and records exchange gains and losses, according to its help centre.
  • Payroll (US): Wave Payroll is $40 a month + $6 per employee + $6 per contractor paid. Zoho Payroll is a separate product at $29 a month + $5 per employee (billed annually). In Canada, Wave Payroll is C$25 + C$6 per employee (not available in Quebec).
  • Bookkeeping service: Wave Advisors provides a dedicated bookkeeper from $149 a month.

Payments and other costs

Wave earns money on payments. US card rates are 2.9% + $0.60 (3.4% + $0.60 for Amex), and Pro waives the $0.60 on the first 10 transactions each month. Wave also charges for receipts ($8 a month on Starter) and payroll. Zoho’s costs sit mainly in the plan tier and add-ons: extra users $3/month, document autoscans $8 per 50, extra locations $10, BillPay $59.
